Supervised exams for Distance Learning Courses

Distance learning and hybrid courses may require your physical presence during exams. These supervised exams, requiring identity checks, may take place on campus, in an off-campus exam centre, or in front of a proctor.

Your exam records

Should you have to take a supervised exam, use your exam records to: 

  • select your exam site
  • if need be, change your exam site before the deadline
  • check date and time of your evaluations
  • check the exact location of your off-campus exam (location name, address and room), at least one week prior to the date of your exam

Where to take a supervised exam?

Whether living around or outside Quebec City, you may choose to take your distance learning course exams on the Université Laval Quebec campus, in one of our exam centres spread over the Province, New-Brunswick or Ontario, or if eligible, in front of a proctor.  

On the Université Laval Quebec campus

Should you choose to take your supervised exams on the Quebec campus, the exact building and room of your exams will be specified on your course website.

You must register accordingly in your exam records, by selecting «Campus de l’Université Laval – Québec (Université Laval – Quebec Campus)».

In an off-campus exam centre

Exam centres are disseminated all over Quebec, and can also be found in two New-Brunswick municipalities, and in downtown Toronto, Ontario.

The exact address and room of your off-campus evaluations will be announced around one week prior to the exam period, and included in your exam records

You must register accordingly in your examrecords, by selecting «Dans un centre d’examens hors campus (In an off-campus exam centre)».

In front of a proctor

To take exams under the supervision of a proctor, you must reside more than 100 kilometers away from the Québec campus or from a Université Laval exam centre. 

You must register accordingly in your exam records, by selecting “À plus de 100 km d’un centre d’examen (More than 100km from an examcentre)”.

Mandatory selection of an exam site

Selecting an exam site in your exam records is absolutely mandatory for supervised exams, no matter the location you choose for your evaluations.

Deadline

The deadline for registering in a given exam site is specified in your exam records. Make sure to comply with it.

Reminder on monPortail

An important message will appear on your monPortail control panel at the beginning of the semester to remind you that it is time to register your exam site. 

Exam dates and conflicting schedules

Supervised exam dates are specified in the course plan and therefore known at the beginning of the semester. You are responsible for checking them and avoiding any scheduling conflict.

However, should you notice a scheduling conflict, you can: 

  • change your course selection before the modification deadline
  • drop one of the conflicting courses before the withdrawal deadline
  • get advice from your course affiliation unit to get acquainted with policies regarding scheduling conflicts

No matter the motive (accommodations, medical factors, etc.), the date and time of an exam cannot be changed without proper authorization from your course affiliation unit or the individual in charge of your course.

Accommodations for exams

If you have a disability resulting in permanent functional limitation, you may request special accommodations for your courses and exams. For an initial request, make an appointment as soon as possible with the Student Assistance Centre, through the Accommodation Section of monPortail (in French only) . Approval of said accommodations should follow in the next week. You will need to activate these accommodations on monPortail to implement them in a timely manner.

Should you already benefit from academic accommodations, please activate them before the deadline for selecting an exam site.

Identity check

You will have to show a photo ID document on the day of your exam. Have your driver’s permit, passport, or health insurance card on hand. Although not required, you may also show your virtual Université Laval ID card .

Holding exams in exceptional circumstances

In case of a winter storm, or any other exceptional circumstances, in your area and on the scheduled exam day, you must verify that your exam is still scheduled prior to showing up.

Exam scheduled on the Quebec campus of Université Laval

If your exam is scheduled to take place on the Quebec campus, please monitor notices of suspension of activities sent by email, on the University’s Website and on official social media.

Exam scheduled to take place in an exam centre

If Université Laval announces a suspension of on-campus activities, all off-campus exams scheduled to take place on that day are also suspended, regardless of weather conditions elsewhere in Quebec.

If one or more off-campus exam sites suspend their activities, without Laval University suspending its on-campus activities, only the exams scheduled to take place at these sites will be suspended. Before travelling, students are advised to check whether their exam centre has announced a closure or a suspension of its activities (see the list of exam centres and their contact information).

In all cases, students will be notified by email as soon as possible. Retakes will be organized on a case-by-case basis.
